Clubs & Organizations 2021-2022 S&A Budget Request

All student organizations sanctioned by the Associated Student Government (ASG) are eligible to apply for 2021-2022 funding through the annual Services & Activities (S&A) Fee budgeting process. Dollars allocated during this budgeting process must be spent between July 1, 2021-June 30, 2022.

The Department of Student Life in partnership with the ASG restructured the annual request process for student organizations in 2017 based on spending patterns from the last five years. It is our hope that this approach will allow student organizations to adopt a more action-based model and spend more time on projects and achieving goals.

Budget process overview
The budget form is broken into four categories: contact information, organization overview, budget breakdown and supplemental materials (if applicable). The supplied information is intended to educate the budget committee about your student organization. Please answer to the best of your ability.

Timeline
January11: Budget requests available
February 16: Deadline to submit 2021-2022 budget requests
March 12: Initial allocation decision
March 15: Appeal hearings (if needed)
March 16: Budget adoption at Student Council Meeting*

*Allocation is unofficial and subject to change until Board of Trustees approval in June.

Do I need to attend a budget hearing?
Unless your organization is requesting Level III funding (see below), you will not be required to attend a budget hearing. The budget committee will make an initial allocation decision based on the submitted materials and notify you of their initial allocation no later than Friday, March 12, 2021.

What are funding levels?
After looking at five years of student organization spending data we noticed a pattern. The concept of funding levels is meant to serve as a guide in determining which funding level is best based on spending tendencies and campus reach/involvement.

Level 1 - $1,800*
- Light refreshments
- Promotional items
- Apparel
- Site visits/tours
- Participation in quarterly festivals

*Upon being sanctioned by the ASG, the student organization will be eligible to receive a Level 1 budget allocation, subject to change based on the budget

Level 2 - $2,700
Everything in Level I, plus:
- Expanded local travel (no overnights)
- Community service projects
- Specialized equipment (non-instruction)
- Hosts workshop for campus/community
- Unique event(s) or ceremony

Level 3- $3,500
Everything in Level I & II, plus:
- Regional or national travel

What is considered "travel"? (Level 3 Only)
Great question! Generally we consider travel any request that has ground/air transportation and/or hotel accommodations. Level 1 & 2 student organizations who earmark funds for site visits/tours and other local travel (no overnights) are not considered travel requests.

What do we need to know about requesting travel funds? (Level 3 Only)
The budget committee will only allocate monies during this budgeting process to travel requests that happen between July 1-October 31, 2021. If your organization would like to request additional dollars for travel/conference registration, please attach a completed Travel Addendum prior to submitting this form online. Travel between November 1, 2021-June 30, 2021 will be heard by the budget committee. Applications will be available at the beginning of 2021 Fall quarter.

Submission deadline
The deadline to complete this request is 11:59pm on Tuesday, February 15.

Is there a training session I can go to?
Yes! Student Life staff will be hosting training sessions leading up to the submission deadline. More information will be made available in mid-January.
